1 Where you found it
2 The date and time at which you found it

Who exactly is your departmental secretary? Because if he's St Michael in disguise that's not very subtle now is it.

Maybe it was a misprint and the letters are from Santa?

Surely they're just keeping tabs on whether or not their staff are working for other agents? After all, Satan is known for headhunting amongst academics in particular. He doesn't tend to bother with English language teachers in Russia...we sold our souls to vodka long ago.
